Executive & Team Assistant (m/f/d)

This unique network serves our manufacturing partners in any aspect of logistics in their supply chains and is carried out from over 40 distribution centers with a capacity of over 400,000 pallets. The Executive & Team Assistant will be part of our passionate and agile central Healthcare Logistics Team. You will work in an international environment and support the team in achieving commercial and operational excellence goals. The successful candidate will also work closely with local country teams and other cross-functional departments in HQ.

 

We are looking to appoint an Executive & Team Assistant (m/f/d) to join the Healthcare Logistics team based in our headquarter in Mannheim and to support the groupwide development of our unique network.

Your Tasks

  • Providing high quality & proactive administrative support to the Director Healthcare Logistics and to our central team.
  • Managing agendas and preparing presentations, arranging and coordinating meetings, taking responsibility of travel logistics and process travel expenses,
  • Planning & organizing special events and the participation in conferences.
  • Identifying, collecting and preparing content for our website, as well as internal and external social media channels
  • Bringing in new ideas – also in the area of AI & digitization – and re-thinking business processes in the area of responsibility, contributing to an efficient and lean organization.
  • Assisting in ad-hoc initiatives and projects/tasks as assigned.
  • Building and maintaining a strong network incl. information / best practice exchange with the countries, other assistants or internal stakeholders in the organization.

Your Profile

  • Successfully completed a commercial education.
  • Several years of experience as Administrative Assistant / Executive Assistant, ideally on international level.
  • Good knowledge of the MS office package, SAP and experience in working with collaborative conferencing tools.
  • Structured, team and result-oriented way of working.
  • Hands-on mentality.
  • Strong collaboration and communication skills with the ability to interact with all levels of professionals internally as well as externally.
  • A digital mindset, showing curiosity about emerging technologies related to AI, big data, with a strong willingness to acquire new technological competencies.
  • Experience in planning and organizing events (conferences, workshops, etc.).
  • Excellent English skills both spoken and written, other language skills of benefit.
